Project Management-Fact Sheet and Memo
Scenario
Sidney Park Health System is experiencing a shortage of coders. Over the past five years, there has been a 30% vacancy rate for coders throughout the main hospital and satellite clinics within the healthcare system. The backlog and vacant positions has created an issue related to unbilled revenue, overworked coders and extended work hours and schedules. It is estimated that there is an annual loss of $12 million. It has also been communicated that many of the qualified coders that were offered a position declined because they are interested in working from home. To address the problem you, the HIM Director, met with Jim Grant, the Chief Financial Officer (CFO), and proposed a home-based coding system. This concept is technologically feasible, given that Sidney Park Health System utilizes an electronic health record and all patient information is available electronically. Mr. Grant presented the proposal to the hospital’s governing board and received approval for the home-based coding system. Because of your experience as a project manager with a previous employer, Mr. Grant assigned you the role of the project manager to oversee the feasibility and implementation of this project.
Mr. Grant has asked you to attend a meeting with the health system’s Project Oversight Committee to address how you plan to manage and lead the project – including selecting effective team members. Mr. Grant also asks you to provide the meeting’s attendees with a handout to reference while you are speaking.
Mr. Clifton Hopson, the health system’s Director of Human Resources, will also be in attendance and has asked for a list of recommended project team members and their roles and responsibilities to help determine workload and pay. You will not address this list of potential team members at the meeting. The list will go into a human resources file.
Instructions
To comply with both requests, you have decided to:
Create a fact sheet to distribute at the meeting. In the fact sheet, evaluate the differences in project leadership and management. Include an assessment of the project team leader’s role and characteristics of an effective project team that you will use to identify team members.
Create a memo to Mr. Clifton Hopson about team member participation. In the memo, recommend potential project team members by title (such as Assistant Coding Manager) and the roles and responsibilities they will have within the project.
Create the fact sheet and memo in separate Microsoft Word documents. Be sure to include appropriate headings in the memo.
Please use rubric below when completing assignment.
Criterion 1:Fact sheet contains reasonable evaluation of differences in project management and leadership
Criterion 2:Fact sheet provides reasonable assessment of project leader role
Criterion 3:Memo contains reasonable recommendations about project team members with titles, roles and responsibilities
Criterion 4:Memo contains reasonable formatting with heading

compile the AVS data and present it to the executive committee for discussion
Scenario
The medical executive committee at LiveWell Hospital will have their monthly meeting in a few weeks to review and discuss business operations, patient care, hospital statistics, and miscellaneous items brought forth by committee members. The medical executive committee consists of the chief executive officer (CEO), chief financial officer (CFO), chief medical officer (CMO), director of nursing (DON), HIM Director, human resources director, director of facility services, and the executive secretary.
In preparation for the meeting, the executive secretary, Patty Reinberry, distributed a meeting agenda to all committee members via email. One of the items of discussion will be the after-visit summary (AVS). LiveWell’s internal policy states that patients will be provided with an AVS at the completion of their visit. The AVS includes, at a minimum, a summary of the visit, follow-up instructions, a medication list, and the provider’s contact information. LiveWell Hospital’s goal is to have 95 percent of their providers compliant with printing an AVS for every visit.
Patty has asked you, the HIM Director, to compile the AVS data and present it to the executive committee for discussion. You believe this will be a great opportunity to involve Carla Monroe, your new HIM manager, in some departmental tasks and invite her to prepare and give the presentation for the executive committee. Carla has recently graduated with an associate degree in Health Information and received her RHIT certification. She has minimal experience but is eager to learn and gain experience. You prepare a memo to Carla that includes guidance in facilitating presentations, using presentation tools to display data, and your analysis of the AVS report to include in the presentation.
The AVS report you pulled is below:
AVS report.docx
Instructions
Prepare a memo to Carla that:
Provides guidance on creating a presentation for the executive committee.
Explains various presentation tools used to display data.
Analyzes the above AVS data including:
Number of departments in compliance.
Number of departments not in compliance.
Departments with the best compliance score.
Departments with the worst compliance score.
Provides charts and graphs that depict compliance scoring.
Provides guidance for presenting to the executive committee.
Examines presentation approaches and ideas for presenting.
General Requirements
Uses professional language, tone, and headings with correct spelling, grammar, and punctuation in memo
Please use rubric (attached below) when completing assignment. Thank you
An explanation of how your past and proposed research would be related to the research conducted by the potential supervisor(s). up to 250 words
Please edit, polish or rewrite if necessary. See writing below.
It would be my greatest honor if Professor A or Professor B could be my research supervisor.
I have reviewed studies written by both professors and believe that my interests in finding the effectiveness of online second language learning most align with Professor A research thrusts on language learning through new media and language learning through viewing video are most similar with my research interest, and Professor B research interests on Second language acquisition, Second and foreign language teaching.
My major in graduate school was Childhood education, and my previous research was nonrelated to linguistic. The research I did for master’s was finding moral education in relation to low crime rate in Japan. Research was a qualitative research, APA style. Even though my previous research top is irrelated to my current research interest but my over than 10 years accumulated teaching Japanese language as second language in both face-to-face classroom and online has well prepared me to conduct my new research interest on effectiveness of online language learning. Along with my enthusiasm and resourcefulness, would enable me to make a significant and valuable contribution on my research interest.
